As an Office Administrator, your objective is to manage the material resources within their area of responsibility, overseeing the budget and billing in accordance, ensuring the maintenance of the workplace.

A day in your life within Transcom:
  • Address the Center’s needs for requested supplies by requesting quotes, managing the Expenses Committee, and reviewing invoices for purchases made;
  • Monitor the cleaning company’s performance and report any issues detected;
  • Collaborate with the maintenance company to plan preventive measures, propose preventive actions, and implement them as needed;
  • Monitor and manage the inventory needed for the day-to-day operations of the center;
  • Assist in organizing team-building activities, including planning breakfasts, lunches, or events for work teams and managing gift cards;
  • Manage, at the administrative level, the documents generated during the invoicing process in coordination with the Finance Department, following established procedures;
  • Provide support to other sites in the region, traveling to them as needed.

To be successful in this role, the following is needed:
  • Demonstrated professional working proficiency (C1+) in both Portuguese and English;
  • Bachelor’s degree or equivalent in Business Administration, Business Sciences (not mandatory);
  • Proficiency with Microsoft Office Suite applications;
  • Maintain motivation and a positive attitude in high-pressure situations;
  • Flexibility to work from our offices in Matosinhos and Braga (travel to Braga once per week required);
  • Previous experience in a similar role, performing administrative management duties, liaising with suppliers, budget control and billing;
  • Experience in the contact center industry is a plus.
