Join our Transcom Family as a Facilities Specialist
The Facilities Specialist provides assistance to the Facilities Team and other stakeholders and ensure the proper completion of all Facility-related Services.
Core Responsibilities:
● Responds to inquiries and concerns. Ensures timely and quality service deliver. Follow-up with stakeholders to ensure customer satisfaction.
● Creates work orders and assigns work orders to technicians, subcontractors and vendors. Communicates work orders to technicians and assists management in resolving problems.
● Provides reports on open and closed work orders and checks status with the appropriate technician or vendor.
● Maintains files on work orders, proposals, and department files. Creates vendor files and checks accuracy on completed paperwork submitted by vendors.
● Processes invoices and ensures proper department charging.
● Assists with the daily office inspections.
● Assist with process and procedure training.
● Assist overseeing and controlling the day-to-day running of all Facilities Management Department.
● Take responsibility for quality control of staff performance and all materials produced by the Department to ensure that the top-quality services and products are provided to stakeholders and that stakeholder’s expectations are met.
● Take responsibility for the quality and accuracy of all relevant financial documentation to stakeholders, and ensure that these are in requested formats.
● Cultivate and maintain good relationships with stakeholders, staff and employees.
● Assist in planning and implementing a marketing program for promoting the Department’s services and generating business/instructions.
● Assist in building a quality team of asset services personnel and establish a track record for the Company as a quality asset service provider.
● Assist the Facilities Manager in identifying long-term trends and needs in asset services.
● Assist in setting goals for the Department, and in formulating plans to ensure that the Department’s human resources, intellectual capability and information technology ability can meet those goals.
● Set up a system for regular inspection of the efficiency and effectiveness of all management operations, procedures and systems with the team of Facilities Manager, Administrative and Technical Services Team to ensure a high level of stakeholder satisfaction.
● Carry out any other duties that may be assigned from time to time.
