Equipment Management & Inventory

•  Conducts regular monitoring of all site critical equipment together with site MTS. Assists in preventive maintenance activities and other facilities activities.

• Maintain a database of inventory of company equipment. Including all incoming and outgoing company assets

• Provide bi-weekly update/report to the Facilities Manager on status of inventory of general office supplies and monitors facilities supplies inventory levels.

• Monitors and ensures proper maintenance of company vehicles & fleets and shuttle services

• Creates work orders and assigns work orders to technicians, subcontractors and vendors. Communicates work orders to technicians and assists management in resolving problems

• Provides reports on open and closed work orders and checks status with the appropriate technician or vendor

• Assists with the daily office inspections.

Reception & Administration

• First level point of contact for all site facilities related concerns and inquiries.

• Assist overseeing and controlling the day-to-day running of all Facilities Management Department 

• Facilitate External Mail & Courier pickups/deliveries

• Provide administrative support to the Site Facilities Manager

• Ensure all site common areas are maintained in a neat, organized and professional manner.

• Carry out any other duties that may be assigned from time to time.

• Processes invoices and ensures proper department charging.

• Maintains files on work orders, proposals, government and department files. Creates vendor files and checks accuracy on completed paperwork submitted by vendors.

• Responds to inquiries and concerns. Ensures timely and quality service delivery. Follow-up with stakeholders to ensure customer satisfaction.

• Monitors and assists in deploying room reservations and allocations.

• Assists in preparations for site visitors & guests.

• Monitors housekeeping and site cleaning and maintenance.

• Provides assistance in completion of facilities activities.

What we are looking for:

To be successful in this role you must…

Educational Background:

•  Candidate must possess at least a Bachelor's/College Degree, any field.

Work Experience:

•  Preferably 1-4 Yrs Experienced Employees.

•  Preferably with knowledge on HVAC (Heating, Ventilation, and Air Conditioning), FM200

• System, UPS System, ATS, and Generator Maintenance

Skills Requirements:

•  Manage your time effectively and be focused on setting clear objectives and priorities.

•  Have worked in a performance driven environment before.
