The Facilities Coordinator supports the company’s goals by facilitating cost effective efforts to keep clean, well maintained, and safe sites that empower employees to better serve customers, while striving for satisfying and mutually beneficial relationships with our internal and external stakeholders. The primary objective is to serve as a point of contact for all site facility related issues; facilitate communication and cooperation with stakeholders, vendors, building administration, internal clients maintain office/buildings (plumbing, electrical, HVAC, etc.) in good repair and safe condition; and establish cost containment /efficiencies where applicable.
Equipment Management & Inventory
- Assist overseeing and controlling the day-to-day running of all Facilities Management Department.
- Maintain database of inventory of company equipment. Including all incoming and outgoing company assets.
- Facilitate distribution of company headsets, earphones, security pass and other company issued assets.
- Provide bi-weekly update/report to the Facilities Manager on status of inventory of general office supplies.
- Assist the Facilities Manager in identifying long-term trends and needs in asset services. Assist in setting goals for the Department, and in formulating plans to ensure that the Department’s human resources, intellectual capability and information technology ability can meet those goals.
- Set up a system for regular inspection of the efficiency and effectiveness of all management, operations, procedures and systems with the team of Facilities Manager, Administrative and Technical Services Team to ensure a high level of stakeholder satisfaction.
- Assists with the daily office inspections.
Reception & Administration
- Answer all incoming calls and transfer calls to the appropriate person or department.
- Facilitate Internal and Interoffice mail process.
- Facilitate Incoming and Outgoing Fax Messages and ensures to forward it to the appropriate person or department.
- Facilitate External Mail & Courier pickups/deliveries.
- Provide administrative support to the Site Facilities Manager.
- Maintain the front reception area in a neat, organized and professional manner.
- Carry out any other duties that may be assigned from time to time.
- Processes invoices and ensures proper department charging.
- Maintains files on work orders, proposals, and department files. Creates vendor files and checks accuracy on completed paperwork submitted by vendors. Creates work orders and assigns work orders to technicians, subcontractors and vendors. Communicates work orders to technicians and assists management in resolving problems.
- Provides reports on open and closed work orders and checks status with the appropriate technician or vendor.
- Responds to inquiries and concerns. Ensures timely and quality service delivery. Follow-up with stakeholders to ensure customer satisfaction.
What we are looking for:
To be successful in this role you must…
- Candidate must possess at least a Bachelor's/College Degree, any field.
- Preferably 1-4 Yrs Experienced Employees.
- Preferably with knowledge on HVAC (Heating, Ventilation, and Air Conditioning), FM200 System, UPS System, ATS, and Generator Maintenance.
- Manage your time effectively and be focused on setting clear objectives and priorities.
- Have worked in a performance driven environment before.
